Q&A as of 04MAR2026: Q1. Visual Requirements The Purchase Description notes an �Audio/Visual package for the main conference room area.� � Can the Government specify the A/V components required (e.g., projector/screen, microphones, podium, sound system, laptop connections, staging, etc.)? A1. 1-Projector Screen, 1-microphone, 1-podium sound system, 1- laptop connections. General Session room only Is A/V required only in the general session room, or also in the breakout rooms? A1: General Session only Does the Government require on-site A/V technician support? A1: YES, 1-Projector Screen, 1-microphone , 1-podium sound system, 1- laptop connections. General Session room only. Q2. Room Setup Requirements Room layouts are not specified. � Can the Government confirm the required seating style for the general session (theater, classroom, rounds)? A2: Round tables � What seating style is required for the breakout rooms accommodating 50 participants each? A2: Round tables � Are water stations, note pads, pens, or room signage required? A2: Yes Q3. Meeting Space Access and Setup � Will the contractor have access to all meeting rooms during the 0900�1600 setup window on May 15? A3: Only DCNG staff should have access. � Are there any restrictions on overnight storage of equipment or materials in the rooms? A3: Only materials for the events will be allowed � Will a pre-event walkthrough be conducted? A3: No Q4. Parking Requirements The document states that on-site parking for up to 100 vehicles must be provided at no additional charge. � Is the 100-vehicle requirement an estimate or a firm minimum? A4: Firm minimum � Is open surface parking acceptable, or are there specific security or proximity requirements beyond the two-minute walking distance noted? A4: Open surface is acceptable. Q5. WiFi Requirements � Is standard complimentary WiFi acceptable, or does the Government require enhanced or dedicated bandwidth? A5: Standard Wi-fi acceptable. � Should WiFi be guaranteed in both the general session room and all breakout rooms? A5: YES Q6. Lodging Requirements � If a hotel does not have an official AAA or Forbes rating, will an equivalent standard rating from another recognized travel rating system meet the requirement? A6. AAA or Forbes rating required 7. Meal Service Requirements Meal menus and timelines are noted, but service format is not defined. � Should meals be provided buffet-style, plated, or is either acceptable? A7: Buffet-Style � Are there any known dietary restrictions that should be planned for? A7: Vegetarian options � Should beverages remain available throughout the entire event or only during meal periods? A7: Entire event Q8. Attrition and Cancellation Expectations � Should contractors include proposed cancellation and attrition terms, or will the Government provide standard terms that must be followed? A8: Standard commercial cancellation terms apply. Q9. On-Site Support Requirements The Purchase Description states that contractor personnel are not required to be on-site but that a representative must be available. � Can the Government confirm whether on-site contractor support is permitted (though not required)? A9: Permitted but not required. � If permitted, are there any identification or check-in requirements for contractor personnel? A9: Check-In with DCNG staff for situational awareness. Q10. Facility Classification The document states that the facility cannot be a casino, hotel-casino, or motel. � Can the Government clarify how �motel� is defined for the purposes of this requirement? A10: For the purposes of this requirement, a motel is lodging with room entrances external to the building. This type of lodging has less security for the guests and will not be acceptable. � Are non-gaming hotels located near a casino facility acceptable? How close? A10: Casino should not be attached or next door. Q11: Would it be acceptable for the meeting space to be provided at a separate location if it is not within the same property as the hotel providing the lodging? If this is permissible, could you please advise what the maximum allowable distance between the lodging facility and the meeting venue would be? A11: NO Meeting space and lodging must be within the same property. Q12: If the hotel does not have full in-house catering capabilities, would it be acceptable for lunch and dinner to be arranged at a nearby restaurant within close proximity to the venue? A12: NO, Meeting space, lodging, and meals must be within the same property. Q13: For the Mid Morning Snack on May 16th - are beverages needed? A13: Yes Q14: Are service staff required during meal times? A14: Yes Q15: Would 4:00PM be an acceptable time for set-up on Friday, May 15th? A15: 4:00PM (1600) is the latest acceptable time per purchase description. Q16: Can the General Session room be used for the breakout sessions (at least one of them) and as the dining area? A16: General Session may be used as the dining area BUT NOT as a breakout room. Q17: Would it be acceptable for the meeting space to be provided at a separate location if it is not within the same property as the hotel providing the lodging? If this is permissible, could you please advise what the maximum allowable distance between the lodging facility and the meeting venue would be? A18: NO, Meeting space and lodging must be within the same property. -End of Q&A- The District of Columbia Army National Guard (DCARNG) Military and Family Readiness program will host a Military Family Readiness Workshop away from the DCARNG Armory. The event shall be held within 25 miles of DC Armory WDC 20003. Contractor to provide event space, meals, and lodging in accordance with the attached Purchase Description. See attached SF 1449 for additional instructions.
