Description
US Department of Veterans Affairs Request for Information/Sources Sought Cleo Streem Secure Faxing Software and Maintenance This is a Request for Information (RFI) only issued for conducting market research. Accordingly, this RFI constitutes neither a Request for Quote (RFQ), Request for Proposal (RFP), nor a guarantee that one will be issued by the Government in the future; furthermore, it does not commit the Government to contract for any services described herein. The Department of Veterans Affairs (VA) is not, at this time, seeking proposals or quotes, and therefore, will not accept, review, or evaluate unsolicited proposals or quotes received in response hereto. This notice is not to be construed as a commitment on the part of the Government to award a contract, nor does the Government intend to pay for any information submitted because of this request. The Government does not reimburse respondents for any costs associated with submission of the information being requested or reimburse expenses incurred for responses to this RFI. Any contract/order that might be awarded based on information received or derived from this market research will be the outcome of the competitive process. The purpose of this RFI is to obtain market information on capable sources of supply, industry best practices, and input specific to the information provided. The Government is not responsible for any cost incurred by industry in furnishing this information. All costs associated with responding to this RFI will be solely at the interested vendor's expense. Not responding to this RFI does not preclude participation in any future Request for Proposal (RFP), if any is issued. Any information submitted by respondents to this RFI is strictly voluntary. All submissions will become Government property and will not be returned. Interested vendors are responsible for adequately marking proprietary, restricted or competition sensitive information contained in their response. The North American Industry Classification System (NAICS) code for this requirement is 541519 and the size standard is $34 million. Requirement: The purpose of this RFI is to identify qualified vendors, who are able to meet Department of Veterans Affairs (VA), Veterans Health Administration (VHA), Veterans Integrated Service Network 8 (VISN 8) requirement for brand name Cleo Streem software licenses, application maintenance and technical support. Background: The Department of Veterans Affairs (VA), VHA, VISN 8 has a requirement for brand name Cleo Streem software licenses, installation, application maintenance and technical support. The required Cleo Streem solution provides secure network fax capabilities and electronic faxing to automate workflow utilizing secure faxing, secure file transfer, communications and messaging capabilities. As a standard solution at many VA facilities, the Cleo Streem solution can be seamlessly integrated with multifunctional devices as an alternative to analog faxing. This feature eliminates the need for analog phone lines and modems in the multifunctional devices. The Cleo Streem solution provides the ability to securely fax documents directly to and from the desktop, eliminating the need for excess usage of paper and consumables. The Contractor shall provide technical support, project management services and training services to enable the solution contained. The Local VA Office of Information and Technology (OIT) will request two virtual servers configured with Windows Server 2019 or 2022 operating systems and will provide remote access to virtual servers and technical assistance as needed to Contractor personnel, who will perform the installation and testing of the solution remotely. OIT will also ensure that the required data feed from VA is sent securely to the Contractor s servers. The virtual servers will be managed by the VA, and standard server maintenance (such as operating system patching, backups, and related tasks) will be performed by VA personnel. The vendor will be responsible for supporting the application, in coordination with the Community Care application administrators. The Contractor will provide the following Software Maintenance: Coverage: 24x7 Type of Support: Telephone, Email, Online & Updates The attached draft Product Description (PD) describes the technical specifications for this effort. Any Schedules held on General Services Administration (GSA), Government-Wide Acquisition Contracts (GWAC) held on the National Aeronautics and Space Administration (NASA) Solutions for Enterprise Wide Procurement (SEWP) V, or any other schedule not mentioned above to assist in determining acquisition strategy if you are included in one or more. Please also include Contract Number, expiration date, etc. Corporate experience or expertise in performing these services and specific examples or references. Specific examples or references provided must include the agency, point of contact, dollar value, and contract number. Has the draft Product Description (PD) provided sufficient detail to describe the requirements that encompass the Cleo Streem Secure Faxing Software effort under a Firm-Fixed-Price contract type? ______ YES _______ NO If NO , please provide your technical comments/recommendations on elements of the draft PD that may contribute to a more accurate proposal submission and efficient, cost effective effort.
